Make the scope clear
The goal is a clear purchasing decision: which products are proposed, what work is included and who is responsible for the steps between preliminary measurements and a finished opening.
Put the scope beside the total
Use this table as a request for information. Ask each supplier to complete gaps and identify exclusions in writing.
| Quote item | What to record |
|---|---|
| System and quantity | Manufacturer, exact model, opening ID and number of units |
| Dimensions | Unit size, rough opening, units of measurement and approval status |
| Operation | Fixed or operable; handing and the viewpoint used on drawings |
| Glass | Proposed package, coating and any unresolved requirements |
| Appearance | Interior and exterior finish references; hardware selection |
| Documents | Drawing revision, product literature and applicable installation guide |
| Delivery | Destination, unloading scope, site access and storage responsibility |
| Site work | Measurement, removal, installation, finishing and handover owners |
| Commercial terms | Itemized options, exclusions, taxes, payment terms and quote validity |
For replacement work, add photographs of the existing frame, surrounding finishes and any visible damage. For a custom build, include the wall details and the latest opening schedule. Describe uncertainty explicitly; an allowance or assumption should be identifiable before comparing totals.
Confirm the system, size and operation
A brand name alone leaves important decisions open. Ask for the exact system and configuration against each opening ID. Innotech identifies its Defender 76TS windows as fixed and tilt + turn; confirm which configuration the proposal includes. See Innotech’s Defender 76TS product information.
Keep unit size and rough opening in separate fields. The unit is the product being ordered; the rough opening is the opening in the wall that receives it. Record width, height and whether dimensions are preliminary, measured or approved for manufacture. Ask who takes final measurements, checks the opening condition and authorizes the order. Do not apply a universal deduction to convert one dimension into the other: Innotech’s installation guide addresses opening tolerances and project-specific shop drawings. Read the current window and swing-door installation instructions.
Draw the operation and label the viewing side. “Left” needs an agreed inside or outside viewpoint. Ask how the proposed sash movement and handle position relate to counters, furniture, blinds and adjacent openings. Have the designer or responsible project professional identify any opening-control or other project requirements before the configuration is finalized.
Specify glass, finishes and hardware
Ask which glazing package and coating are proposed for each opening, and which questions remain for the designer. Innotech’s 76TS page discusses double and triple glazing, Low-E coatings, finishes and hardware choices. That establishes subjects to confirm; availability for your exact order still needs written confirmation. Review the manufacturer’s option categories.
Give the team your priorities for sunlight, privacy, views and sound. Request the record supporting any performance figure in the proposal and ask whether it applies to the quoted configuration. Keep an alternative glass package on its own line so its scope is visible.
For finishes, record the exact interior and exterior references. Ask to approve a physical sample, then carry that selection into the order documents. Confirm handle finish, location, hardware operation and any proposed restrictor with the supplier. Innotech recommends checking colour samples rather than relying on screen appearance. Check the manufacturer’s finish and hardware information.
Match the documents to the proposal
Request the relevant product summary, drawings and installation literature with their revision dates. Haven’s technical library groups specifications, drawings, installation manuals and performance records; use it to identify documents for the system being discussed. Browse the technical library.
Ask the supplier to explain discrepancies between a quote, schedule and drawing before approval. Keep the agreed documents together, including any written substitutions. A brochure for a product family should not silently replace the specification for an individual opening.
Assign delivery and site responsibilities
Describe the delivery address and the route from unloading point to opening. Ask what shipment dimensions and weights the receiving team needs to plan access, equipment and storage. Confirm who receives the delivery, checks its condition and reports discrepancies. Innotech’s installation guide addresses receiving, handling and storage; agree who will carry out those tasks for this project. See the manufacturer’s receiving and handling guidance.
Then assign each site task: removal and disposal, opening repairs, installation, flashing and wall interfaces, interior trim, exterior finishing, protection, adjustments and cleanup. Ask who resolves concealed damage or an opening that differs from the approved drawing. Record which work is included, excluded or supplied by another contractor. Confirm the proposed product warranty and any separate workmanship coverage in their actual written terms.
Before you approve
- Match every opening ID, quantity and drawing revision.
- Resolve final dimensions, operation and outstanding selections.
- Separate base scope, alternatives, allowances and exclusions.
- Name the owners of measurement, delivery, installation and finishing.
- Confirm payment terms, quote validity and the process for changes.
Bring your schedule, drawings, photographs and unresolved questions to Haven’s quote options. Ask Haven to confirm its proposed supply and coordination scope in writing, so the next decision starts with a shared specification.
